Inventory overview
Stock is tracked in a ledger — every purchase, sale, transfer and adjustment is a movement, so the on-hand quantity is always the sum of movements. This gives an accurate, auditable stock figure per item, variant and branch.
Stock in, out & adjustment
Increase stock with a purchase or stock in; decrease it with a sale or stock out. Use a stock adjustment to correct counts (breakage, wastage, correction) with a reason.
Stock transfer (branch to branch)
- Open Inventory → Stock Transfer.
- Select the source and destination branch.
- Add items and quantities to transfer.
- Confirm — stock leaves the source and arrives at the destination, fully tracked.
Opening stock
Forgot to enter starting stock? The Opening Stock module lets you search items, set cost and quantity, build a list and save it — creating the stock and the matching ledger entries in one step.
Suppliers, purchase orders, purchases & returns
Add suppliers, raise purchase orders, record purchases (which add stock and cost) and process purchase returns. The Grid Entry purchase layout speeds up data entry: search → price → quantity → Enter, with an editable table.
Barcode stock audit (physical count)
The Stock Audit module runs a physical count: scan items, and the counted quantity is always a recomputed total (never blindly added), so re-scanning is safe. Stock only changes when you finalise the audit, which posts the difference to the ledger.
- Start a new stock audit for a branch.
- Scan items — counts update live and sync in idempotent batches.
- Review variances (system vs counted).
- Finalise to apply the corrections to stock.
Low stock & expiry
Set reorder levels to get low-stock alerts before you run out. Track expiry dates for perishable or medicine stock so you can act before items expire.
Inventory reports & valuation
See current stock, movements, valuation and per-variant stock. The Variant Stock Report gives authoritative per-variant on-hand from the stock ledger. See Reports for the full list.
